Key challenges faced by facility managers

A facility manager is asked to keep an industrial, logistics or commercial building working, which sounds like one job and is really five, each pulling in a slightly different direction. What follows is the shape those pressures usually take.

1. Maintenance that has to be planned, not discovered

The first challenge is keeping preventive and corrective maintenance ahead of events, across electrical systems, heating and cooling, doors, floors and the structure itself. A failure in any of them stops work, and the cost of the stoppage is almost always larger than the cost of the repair that would have prevented it.

What helps is knowing the condition of the assets rather than their age: inspection records that are actually kept up, sensors on the equipment where failure is expensive, and a maintenance system that tells you what is due before somebody notices a noise.

2. Cost, without quietly borrowing from safety

Every facility budget is under pressure, and most of the pressure is legitimate. The difficulty is that the easiest savings are the ones whose consequences appear later: a postponed inspection, a repair done twice because it was done cheaply, lighting left as it is because replacing it is capital rather than operating expenditure.

The savings that survive scrutiny are the ones with a mechanism behind them, such as a lighting installation that draws less power for the same lux at floor level, or a layout change that removes handling movements rather than making them quicker.

3. Compliance that keeps moving

Workplace safety and environmental rules change, and they change at different speeds in each country. For a facility manager running one site that is manageable. For one running sites in three countries it is a research job, and the risk is not usually ignorance of the rule but the assumption that the rule is the same one they already know.

Racking inspection, floor marking, emergency lighting, fire compartmentation and work at height all sit here, and each of them has a national reading of a European standard.

4. Technology that has to earn its place

Automation and digitalisation reach industrial buildings later than the pitch suggests, and the useful parts arrive quietly: a building management system that shows consumption per zone, sensors on the assets that fail expensively, platforms that let a site be checked without driving to it.

The question worth asking about each of them is what decision it will change. A dashboard nobody acts on has a cost and no return.

5. Energy and the reporting that follows it

Energy efficiency has stopped being an optional improvement and become something to be measured and reported. That covers lighting, heating strategy, insulation and the way the building is used, and it works best when the measurement comes first: a consumption baseline, then the change, then the same measurement again.

The one that is rarely on the list

There is a sixth, and it is the one that costs the most time. Almost every improvement to an industrial building involves several trades and several suppliers, often in different countries, each with their own lead time, insurance and idea of when they are finished. Assembling and chasing that list is a project management job that lands on the facility manager on top of everything above.
